1. Scope of this policy
This Privacy Policy applies to information collected through:
- The website www.teamdsr.co.in and any subdomain (for example, event registration portals).
- Our Visitor Registration & Management System (VRMS), kiosks, mobile registration apps and badge-printing software.
- Our Expo ERP and exhibitor / fabricator / vendor portals.
- Email, SMS, WhatsApp, telephone and in-person interactions in the course of our business.
It is published in compliance with the Information Technology Act 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 of India.
2. Information we collect
(a) Information you provide
- Identity & contact: name, designation, organisation, email, phone, postal address, photo on badge.
- Registration data: event/category selected, ticket type, badge preferences, B2B match-making interests.
- Billing: billing name, GSTIN (where applicable), invoice address.
- Communications: messages submitted through forms, email, WhatsApp or our portals.
(b) Information collected automatically
- Device & usage: IP address, browser type, device identifiers, referring page, pages viewed, time spent.
- Scan data at events: entry/exit time, hall scan logs, B2B meeting check-ins (where you choose to participate).
- Cookies: see section 7.
(c) Information from third parties
- Event organisers who appoint us to handle registration.
- Payment partners (e.g. Razorpay) — we receive a payment status and a transaction reference, not your card details.
- Public sources (LinkedIn, GST portal) used to verify business contacts in B2B contexts.
3. How we use your information
- To register you for an event, generate digital or printed badges and grant access to halls.
- To process payments and issue invoices through our payment partners.
- To deliver the services you have purchased — including ERP access, display rentals or IT services.
- To facilitate B2B match-making, exhibitor search and on-event communication, where you opt in.
- To send transactional notifications by email, SMS or WhatsApp (registration confirmations, schedule changes, payment receipts).
- To send marketing communications about future events or services — only with your consent and with a clear opt-out.
- To improve our website, ERP and registration software, prevent fraud and ensure security.
- To comply with legal, regulatory or contractual obligations.
4. Legal basis for processing
We process personal data on one or more of the following bases: (a) your consent; (b) the performance of a contract you have entered into with us or with an event organiser; (c) compliance with a legal obligation; (d) our legitimate business interests (event security, fraud prevention, service improvement) provided these are not overridden by your rights.
6. Payments and payment data
Online payments on our event portals and on partner subdomains are processed exclusively by Razorpay Software Private Limited, a PCI-DSS Level 1 certified payment service provider. When you make a payment:
- Card numbers, CVV, OTP and net-banking credentials are entered directly into Razorpay's secure interface and are never seen, stored or processed by Team DSR servers.
- We receive only a payment status (success, failure, pending), the amount, currency, payment method category, and a Razorpay reference ID.
- For your convenience, we may store the last four digits of the card or a tokenised reference (per RBI tokenisation guidelines) returned by Razorpay solely to display in your invoice or order history.
- Razorpay's processing of your data is governed by Razorpay's own privacy policy at razorpay.com/privacy.
8. Data retention
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting or reporting requirements.

9. Security
We follow reasonable security practices including TLS encryption in transit, role-based access controls on our ERP, restricted access to badge databases, encrypted backups, and regular review of vendor security. While no system is perfectly secure, we work continuously to protect your data and to notify affected users of any breach as required by law.
10. Your rights
Subject to applicable law, you may:
- Access the personal information we hold about you.
- Request correction of inaccurate or outdated data.
- Withdraw consent for marketing communications at any time (use the unsubscribe link or write to us).
- Request deletion of your data, subject to legal retention requirements.
- Lodge a complaint with our Grievance Officer (see section 14).
To exercise any of these rights, email shail@teamdsr.co.in from the email address associated with your registration. We respond within 30 days.
11. Children's data
Our services are not directed to children under the age of 18. We do not knowingly collect personal information from minors. If you become aware that a minor has submitted data to us, please contact us so we can delete it.
12. International transfers
Our primary servers are located in India. Some of our service providers (e.g. cloud email, analytics) may be located outside India. Where data is transferred internationally, we take steps to ensure equivalent levels of protection through contractual safeguards.
13. Changes to this policy
We may update this policy from time to time. The updated version will be posted here with a revised "Last updated" date. Material changes will be highlighted on the homepage or notified to registered users.
